CONTRACT AND INFORMATION SHEET
Reservations must be made as far in advance as possible.
Deposit A deposit of fifty percent (50%) of the rental fee accompanied by a signed contract is required to secure a date. The balance of the rental fee is due no later than thirty (30) days prior to the event.
Cancellations Upon reserving a date, acknowledged with contract singed by both parties, the initial deposit is nonrefundable. No funds will be returned at any time.
Damage Deposit Bentley's requires a Five Hundred Dollar ($500.00) damage deposit to cover any damages incurred during the event other than normal wear and tear. This deposit will be held in escrow. The deposit will be returned to you within seven (7) days after the event.
Liability Policy The individual or organization using Bentley's is fully responsible for any damages that occur during an event and releases Bentley's from any liability for any theft, damage or injury associated with the event.
Contractors Choice of caterer, rental company and other sub-contracted services are all subject to Sally Bentley's approval. All services must be able to provide proof of Workman's Compensation Liability Insurance for their employees. Unless special arrangements are made, caterers and other contractors will have access to the premises three (3) hours prior to the beginning of the event. No access to Bentley's is permitted without the presence of a Bentley's associate prior to the event.
Assumption of Responsibility Bentley's does not assume any responsibility for any items lefts by the guests, renter or contractors. The renter is responsible for removing all articles brought in during the event.
Rental Time All functions are to end at the contracted time. Bentley's reserves the right to require guests, band members, etc, to leave the premises at the contracted time. Rental time may be extended for an additional charge of Two-hundred and Fifty Dollars ($250.00) per hour not to exceed 1:00am.
Tenting Tents on the main rear terrace level must not exceed 40' by 70' in length. Bentley's has a preferred tenting company that has custom designed installation specifications for the terrace. Bentley's is not responsible for hanging or taking down tent sidewalls should weather conditions change.
Planning Session ALL involved parties (client, caterer, band member or DJ, floral designer, photographer, videographer, as well as a representative from any additional service, such as shuttle, cake or equipment rental company, etc) must be in contact with Bentley's Event Coordinator at least two (2) weeks prior to the event. Sally Bentley reserves the right to determine which areas may be used for food and drink service.
Caterers (Preferred only) are to provide their own manpower to unload, setup, repack and stack rented items outside the house and designated area as agreed upon by the rental company. Caterers are responsible for bringing and using all required supplies. Opening of any cabinets, drawers or closets by anyone other than Bentley's staff is strictly forbidden for any reason.
Rental Equipment ALL outdoor rental equipment and musical equipment must not be taken through the house at any time. A convenient service driveway is located near the rear patio and caterer's kitchen.
Breakdown must occur immediately after the event, and all rental and décor items, gifts, clothing, etc must be removed from the house the same night to avoid additional costs. ALL TRASH GENERATED BY THE EVENT MUST BE REMOVED FROM THE PROPERTY THE SAME NIGHT OF THE EVENT.
Clean-Up The client will arrange, usually through the caterer, for complete clean-up and return of everything to its original condition before leaving the premises. If the premises is not left in it's original condition, the client will be assessed an additional fee.
Inclusion of Property Bentley's does not furnish refreshments, flowers, china, silver, glasware, linen coffee makers, flatware or service utensils, dishes, tables or chairs of any kinds. Bentley's staff is not responsible for helping caterers or contractors.
Decorations All added decorations must be free-standing. No nails, screws, pins or adhesive of any kind may be used on the furniture, walls, floors or ceiling. Because of obvious insurance restrictions, no open candles or torches may be used inside the facility. Any outdoor candles or votives are restricted to lower terrace area.
Alcohol Absolutely no alcohol may be removed from the premises by the guests at the conclusion of each event. Preferred beverage service vendors are available. Please consult with Bentley's Event Coordinator to discuss.
Smoking: Absolutely no smoking is allowed in the house.
Parking is limited at the facility. We strongly encourage the use of valet parking. Discounted parking attendants are available through the Bentley's. Please discuss with Bentley's Event Coordinator for more information.
Thirty Party If the first contact for an event is made by a meeting planner or a locations agent, no agreement on use shall be made until the actual user has met with Sally Bentley.
Rental Property In the event of specific damage to the premises as a direct result of the activities of the client, client's staff, guests or contractors at this event (other than ordinary wear and tear), client expressly assumes responsibility for full and prompt payment of the cost of any repair and/or replacement necessary to correct such damage.
